Privacy Policy for FFB Dragon Boat Club
1. Introduction
FFB Dragon Boat Club is committed to protecting the privacy of our members, volunteers, and visitors. While our club is exempt from the Privacy Act 1988 (Cth) due to our annual turnover being under $3 million, we operate under best-practice data management to ensure your personal information remains safe, secure, and transparent. By registering as a member of our club via revSPORT, you also agree to the data collections required by our governing bodies, Dragon Boat NSW (DBNSW) and the Australian Dragon Boat Federation (AusDBF).
2. The Information We Collect
We only collect personal information that is directly necessary to run our dragon boat club and manage your membership safely. This includes:
Identification details: Full name, date of birth, and gender.
Contact details: Postal address, email address, and phone number.
Emergency information: The name and contact number of your nominated emergency contact.
Volunteer credentials: Working with Children Check (WWCC) numbers or police checks only where required for specific committee or officiating roles.
Media: Photos or videos taken during team training, regattas, or club events.
3. How We Collect It
We collect your information digitally when you register, renew, or update your profile directly through our electronic membership platform, revSPORT. As our club caters to adult paddlers (aged 18 and over), all data is collected directly from the individual member.
4. Why We Collect Information & How It Is Used
Your information is strictly used for the administration and development of dragon boating activities. We use it to:
Manage club memberships, roster crew structures, and communicate training updates.
Coordinate regatta entries, race-day scheduling, and safety logs.
Verify eligibility for specific age-based racing categories (e.g., Senior A, Senior B, Senior C).
Distribute club newsletters, social invitations, or notice of general meetings.
5. Who We Share Your Data With
We never sell or rent your personal details to third-party advertisers. Your data is only shared with:
DBNSW and AusDBF: Because your registration occurs via revSPORT, your profile is integrated with state and national databases to fulfil our affiliation requirements, process your state/national registration, and log active paddlers for national sports insurance cover.
Emergency Services: Shared exclusively if medical services require emergency contact details during a club-sanctioned activity.
6. Media, Imagery & Promotional Material
The club frequently captures group photos and race footage during training and regattas.
We may use these images on our official website, newsletters, or social media platforms to promote the club and celebrate our crews' achievements.
If you do not wish to have your image published, please notify the Club Secretary in writing, and we will actively exclude you from media posts.
7. Data Security & Storage
We take reasonable steps to prevent unauthorised access or accidental disclosure of your details.
Your primary data is securely hosted by revSPORT under their strict data security protocols.
Any local club records or export files are stored using password-protected, restricted-access cloud storage.
Access to member data is strictly confined to essential committee members (such as the Registrar, Coach, or Secretary) who require it for operational duties.
We do not keep physical paperwork or digital spreadsheets containing personal data open to general club members or non-committee volunteers.
8. Accessing Your Data and Complaints
You can log directly into your personal revSPORT account at any time to view, correct, or update your information. If you have a question or wish to submit a privacy-related concern, please contact:
